Gathering & Membership Policies

Because our gatherings are highly intimate and seats are strictly limited, small groups depend on everyone showing up. Our refund windows are structured as follows:
More than 14 days before the first session: Full refund
8 to 14 days before the first session: 50% refund, or 100% credit toward a future gathering
7 days or fewer before the first session: No refund. You may transfer your seat to another woman.
A human note: If something unexpected or serious happens in your life, please write to us at dvollmer@luma.ventures. We would always rather find you a seat in a later session than lose you.
Seat Transfers
To a different date: You may move your seat to a future date or cohort once, at no cost, if you notify us more than 7 days before your original start date. After that, transfers are subject to availability and our discretion.
To another person: You can give your seat to another woman at any time, for free. Just email us her name and email address so we can welcome her.
Missing a Session (Passage Cohorts)
A Passage is a 5-week journey. The magic of this cohort experience relies on the same group of women being in the room each week.
If you miss a session, we will email you the materials so you can stay caught up, but we do not offer refunds or proration for missed sessions.
If you know in advance that you will have to miss two or more of the five sessions, please wait and sign up for a future cohort that fits your schedule better.
Circle Membership
Circle is billed monthly on a recurring basis.
You can cancel at any time directly from your account page.
Once canceled, your membership remains active through the end of the billing period you have already paid for.
We do not offer refunds for past months, nor do we prorate partial months.
If We Cancel
Gatherings require a minimum of 6 participants to run.
If a Pause gathering or Passage cohort does not reach this minimum, we will notify you at least 7 days before the start date. You will receive your choice of a full refund or a guaranteed seat in the next available gathering.
If we must cancel or reschedule a single session due to emergencies or forces outside our control (like extreme weather), we will reschedule that session. We do not offer refunds for the entire series in this scenario.
The Gathering Space
Virtual Gatherings
Virtual sessions are hosted on Zoom. You will need a device with a working camera and microphone.
Cameras on is the expectation, not just a suggestion. These gatherings are structured as collaborative, shared spaces for women—not passive webinars. It doesn’t work unless we can see each other.
We never record sessions. What is said in the room stays in the room.
Privacy & Confidentiality
What is shared during a Story Compass gathering is sacred and strictly confidential. We ask all participants to agree to this privacy boundary before our first session, and we hold ourselves to this exact same standard.
We will never sell, rent, or share your personal data. We use your email to deliver your materials, keep you updated on your booking, and (if you opt-in) send you occasional updates. You can unsubscribe at any time.
Photography
We occasionally take photos during in-person gatherings to capture the spirit of the space. We will always ask for your consent before taking photos and will not share photos with anyone’s face, unless we have express written consent. We will never photograph your personal Story Compass template, writing, or private work without your explicit, written permission. If you prefer not to be photographed at all, just let us know.
Accessibility & Support Needs
If you have any physical access needs, dietary restrictions, or other requests that would make it easier and more comfortable for you to participate fully, please let us know when you register. We will do everything we reasonably can to accommodate you.
